Reports: Procedures For Requesting Computer Reports From the Metro Police Department
- LETTER OF REQUEST:
- From business - on letterhead.
From individual - typed or handwritten. - Necessary information to be included in each Letter of Request:

- Address for which information is needed. Example: 2112 South Bend Road. (Must be in Davidson County) **
- Dates to be covered in report. Example: Jan 1, 1995 - June 30, 1995
- Purpose for you needing this information. Example: Child custody court case - Checking for crime in location where you are looking to live - Or whatever the reason may be.

- Established by Metro Code 2.44.080 - Metropolitan Council 1991. Charges are based on the time it takes for the computer to complete the printed report. All police information is stored on our computer mainframe, and a computer report must be generated to see any of this information. The minimum cost to purchase a computer report is $33.00. This is for 30 minutes of computer time ($1.10 per minute). Therefore, you must include with your letter of request a check, money order, or cashier's check in the amount of $33.00, payable to the Metro Police Department. If the report should exceed the initial 30 minutes, you will be charged an additional $1.10 for each minute it runs over the first 30 minutes.
- Example: The report takes 35 minutes to complete. You will be charged $33.00 (initial cost), plus another $5.50 for the additional 5 minutes. Total cost: $38.50. If the computer report does exceed the initial 30 minutes, you will be expected to pay the additional cost when you pick up the computer report at the Help Desk in The Criminal Justice Center. The amount of time it takes to generate the requested computer report is not known until the report is completed. The computer calculates the time and prints it on the report.
- OUT-OF-TOWN REQUESTS:
- Computer reports will be mailed after full payment has been received.
- NEWS MEDIA:
- Requests must first be approved by Don Aaron, Public Information Manager - 615-862-7306. Cost is calculated as listed above.
- TIME:
- Unless otherwise advised, requested computer reports will be completed in 3-5 working days after we receive the Letter of Request. Letters may be hand delivered to the Criminal Justice Center lobby and deposited in the silver Departmental Mail box in the wall to the right of the front doors.
- TYPES OF REPORTS:

- Calls for Service - lists each call when a police car is dispatched to a given location for whatever reason.
- Incident - all reported crimes; types and locations.
- Arrest - all arrests; types and locations.
- Accidents - lists traffic accidents by location and date of occurrence.
- SPECIAL REPORTS:
- Any reports requiring a program to be written must also pay for programming time, as well as computer time to generate the report. Programming time is also calculated on a $1.10 per minute basis.
